How to monitor inactive clients with automations

Automatically get notified when a client becomes inactive based on the conditions you choose.

Inactive client automations monitor client activity in the background and notify your coaching team when a client stops engaging with their program. Notifications can be sent to your Inbox, email, or both.

Follow these steps

  1. Go to AutomationsCreate automation.

  2. Select AutomationNext

  3. Choose Activity not completed as the trigger.

  4. Select the activity you want to monitor:

    • First workout

    • Any workout

    • Meaningful client engagement

    • Coach interaction

    • Nutrition engagement

  5. Configure who the automation applies to

  6. Choose when to start tracking inactivity

  7. Set the inactivity period using hours, days, or weeks.

  8. Choose how often you'd like to be notified:

    • Once

    • Repeat until resolved

  9. Select where you'd like to receive notifications

  10. Click Create to activate the automation.

💡 Tip: Start with a 7-day inactivity window to avoid receiving too many notifications.

Notes & best practices

  • Automation rules run automatically in the background. Rules measured in hours are checked every hour. Rules measured in days or weeks are checked once each morning in your account's time zone.

  • Clients with tag uses client tags, not program tags.

  • First workout is useful for identifying clients who signed up but never completed their first workout.

  • Once sends a single notification for each inactive client. Repeat until resolved continues sending reminders until the client becomes active again or the maximum number of reminders is reached.

  • Notifications are sent to the assigned coach, the account owner, and active admins, directors, and managers who have access to that client.

FAQ

How quickly will I receive an inactivity alert?

Rules measured in hours are checked every hour. Rules measured in days or weeks are checked once each morning in your account's time zone, so alerts may arrive up to a day after the inactivity threshold is reached.

Why am I not receiving email notifications?

Make sure Email is selected as a notification channel for the automation and that Inactive clients notifications are enabled under Settings → Account → Notifications.

Will I keep receiving alerts for the same client?

Only if you select Repeat until resolved. With Once, you'll receive a single notification until the client becomes active again.

Can I create automations based on sleep, recovery, or step data?

Not at this time. Inactive client automations currently support First workout, Any workout, Meaningful client engagement, Coach interaction, and Nutrition engagement.

What happens when a client becomes active again?

The alert resolves automatically after the client completes the monitored activity. If they become inactive again later, the automation will notify you again.
